The level of internal resources allocated to managing a fleet can vary tremendously, even between companies with like size fleets.

Often, those charged with handling the fleet have other job responsibilities. Yet there are hundreds of tasks that must be carried out on an ongoing basis to keep vehicles on the road and drivers productive, while controlling the overall cost of the fleet. Handling all of this effectively in-house is extremely difficult.

Many aspects of fleet administration can be handled more efficiently by a fleet management company, leaving the fleet office free to focus on strategic rather than transactional matters.  Wheels helps ease administration for client fleet offices through each of the services we deliver, as well as the dedicated, proactive account support we provide.

We assign an Account Executive to each client to support the fleet office regarding transactional matters and answer all day-to-day questions.  The Account Executive coordinates with other Wheels departments to obtain whatever information or results are needed.  All Account Executives undergo intensive training and certification upon hire and receive an additional five hours of training per month on an ongoing basis.  The result is qualified, focused resources to handle many of the tasks associated with fleet on behalf of your fleet office.

Through our Driver Communications service, we make it easy for clients to send targeted communications to their drivers.  Default settings on common topics allow messages to be created in seconds, and clients may choose which driver group(s) should receive each communication (e.g., based on organizational structure).  The communications are an easy way to automatically reinforce driver behavior.  System flexibility allows the text, recipients and sender to be customized by the user.  This valuable tool is integrated with Wheels’ database, which allows clients to have e-mails automatically triggered by events in our system such as changes in the status of on-order vehicles; failure to have preventive maintenance performed; or not reporting personal use mileage by a specified deadline.  Custom messaging also allows the fleet office to reach all drivers or a subset thereof regarding any topic on which immediate communication is neededrequired.

We also handle all administration associated with incentive management.  In addition to reducing administration for the fleet office, this also results in significant cost savings for our clients.  We automatically audit every invoice, and we aggressively pursue discrepancies on behalf of our clients.  We track and collect all incentives, discounts and rebates through a dedicated team of experts.  As a result, our clients are assured of paying the correct price for each vehicle – a result that would be virtually impossible to achieve through company resources that typically lack the time, expertise and systems to tackle the job.
